Explains how to share a folder within a Microsoft Team with others, covering the steps for both Windows and macOS.

Sharing a Folder in Microsoft Teams on a PC
Open Microsoft Teams and Access the Team:
- Open Microsoft Teams on your PC and go to the Teams tab on the left sidebar.
Navigate to the Channel and Folder:
- Select the specific team and channel where the folder is located. Under the Files tab, locate the folder you want to share.
Copy the Folder Link:
- Right-click the folder, or click on the More options (three dots) next to it, and select Copy link. Teams will generate a link to the folder.
Adjust Link Permissions:
- After selecting Copy link, you may see options to set link permissions. Choose whether to allow Edit or View only access.
- Click on People in [Your Organisation] with the link can edit/view to adjust who can access the link (e.g., specific people, anyone with the link, or only members of your organisation).
Share the Link:
- Copy the link and paste it into an email, chat, or any other communication method to share with the intended recipient.
Sharing a Folder in Microsoft Teams on a Mac
Open Microsoft Teams and Go to the Desired Team:
- Launch Microsoft Teams on your Mac and navigate to the Teams tab on the left-hand side.
Locate the Channel and Folder:
- Select the appropriate team and channel, then click on the Files tab to locate the folder you want to share.
Copy the Folder Link:
- Right-click the folder, or click the More options (three dots) icon next to it, and select Copy link. Teams will generate a unique link to this folder.
Set Permissions for the Link:
- After clicking Copy link, you may have the option to set permissions. Choose whether you want recipients to have Edit or View only access.
- Click on People in [Your Organisation] with the link can edit/view to customise who can view the folder (e.g., specific people, anyone with the link, or only those in your organisation).
Share the Link:
- Copy the link and send it to the person you want to share the folder with via email, Teams chat, or another preferred method.
Note:
Both PC and Mac users can also access sharing options through the SharePoint site linked to the team. Just go to Open in SharePoint in the Files tab, locate the folder, and adjust sharing settings directly in SharePoint if needed.
