Objective:
Explains how to set up and disable forwarding of all incoming emails in Outlook on a PC.
Steps:
In the Classic Version of Outlook (Windows)
To Set Up Email Forwarding:
Open Outlook for PC:
- Open Microsoft Outlook on your Windows PC.
Go to Rules and Alerts:
- Click on File in the top menu, then select Manage Rules & Alerts.
Create a New Rule:
- In the Rules and Alerts window, click New Rule.
Apply the Rule to All Incoming Messages:
- In the Rules Wizard, select Apply rule on messages I receive under Start from a blank rule and click Next.
- Leave all conditions unchecked to apply the rule to all incoming messages. Click Next, and confirm by clicking Yes if prompted.
Set the Forwarding Action:
- In the list of actions, check forward it to people or public group. Click the people or public group link in the rule description, enter the forwarding email address in the To field, and click OK.
Finish and Enable the Rule:
- Click Finish to create the rule. Ensure the rule’s checkbox is checked to enable it.
To Disable Email Forwarding:
Access Rules and Alerts:
- Go to File > Manage Rules & Alerts.
Disable or Delete the Forwarding Rule:
- Uncheck the box next to the forwarding rule to disable it temporarily. To remove it completely, select the rule and click Delete.
In the New Version of Outlook (Windows)
To Set Up Email Forwarding:
Open Outlook for PC:
- Open the new version of Microsoft Outlook on your PC.
Access Settings:
- Click on the Settings (gear icon) in the top right corner, then select View all Outlook settings at the bottom.
Go to Mail > Rules:
- In the settings menu, select Mail > Rules.
Create a New Rule for Forwarding:
- Click Add new rule. Name the rule (e.g., "Forward All Emails").
Set Conditions and Actions:
- For Add a condition, choose Apply to all messages.
- For Add an action, choose Forward to, then enter the email address where you want the emails to be forwarded.
Save the Rule:
- Click Save to apply the forwarding rule.
To Disable Email Forwarding:
Access Mail Rules:
- Go to Settings > View all Outlook settings > Mail > Rules.
Turn Off or Delete the Rule:
- To temporarily disable forwarding, toggle off the rule by unchecking it. To delete the rule entirely, click on the rule and select Delete.
