Objective:
Explains how to overlay multiple calendars in Outlook on Windows to view them in a single combined view.
Steps:
Step 1: Open the Calendar in Outlook
Launch Outlook for Windows:
- Open Microsoft Outlook from the Start menu or taskbar.
Go to the Calendar:
- Click on the Calendar icon in the bottom-left corner of the Outlook window.
Step 2: Add Additional Calendars
Access Calendar Groups:
- In the My Calendars section of the left-hand panel, tick the checkboxes next to the calendars you want to view.
Open Shared Calendars:
- If you need to add a shared calendar, click on Add Calendar > From Address Book, select the person’s name, and click OK to display their calendar.
Step 3: Overlay the Calendars
Enable Overlay Mode via Right-Click:
- Right-click on the name of a calendar in the My Calendars section and select Overlay from the context menu. This will overlay the selected calendar with your primary calendar.
Enable Overlay Mode via the Toolbar:
- Alternatively, select one calendar, then click on the tab of another calendar to bring it into view. In the View toolbar (in the Arrangement section), click Overlay.
View the Combined Calendars:
- The calendars will now appear overlaid in a single view, with events from each calendar displayed in distinct colours.
Switch Back to Side-by-Side View:
- To return to side-by-side view, right-click the calendar and deselect Overlay or deselect it in the View toolbar.
