For the New Version of Outlook (Windows)
Step 1: Open Outlook
Launch the New Outlook:
- Open the new version of Microsoft Outlook from the Start menu or taskbar.
Go to Account Settings:
- Click on the Settings (gear icon) in the top-right corner of the window, then select Accounts from the dropdown menu.
Step 2: Add the Mailbox
Add a New Account:
- In the Accounts menu, click Add Account.
Enter Your Office 365 Email Address:
- Type the email address for the mailbox you wish to add (e.g.,
your.name@company.com
) and click Next.
- Type the email address for the mailbox you wish to add (e.g.,
Authenticate:
- Enter your Office 365 password and complete any MFA steps as required.
Step 3: Confirm and Finish Setup
Verify the Mailbox:
- Outlook will automatically configure the mailbox, and it will appear in the folder list once synchronisation is complete.
Start Using the Mailbox:
- The new mailbox is now ready to use.
For the Classic Version of Outlook (Windows)
Step 1: Open Outlook
Launch Outlook for Windows:
- Open the classic version of Microsoft Outlook from the Start menu or taskbar.
Go to File Menu:
- Click on the File tab in the top-left corner of the Outlook window.
Step 2: Add the Mailbox
Open Account Settings:
- In the Info section, click Account Settings, then select Account Settings... from the dropdown.
Add a New Account:
- In the E-mail tab, click New.
Enter Your Email Address:
- Select E-mail Account, then type the email address for the Office 365 mailbox (e.g.,
your.name@company.com
). Click Next.
- Select E-mail Account, then type the email address for the Office 365 mailbox (e.g.,
Authenticate:
- Enter your Office 365 password when prompted. If MFA is enabled, complete the additional authentication steps.
Step 3: Finalise Setup
Automatic Configuration:
- Outlook will attempt to automatically configure the mailbox. If successful, you will see a confirmation message. Click Finish to complete the setup.
Manual Configuration (If Needed):
- If the automatic configuration fails, select Manually configure server settings, then input the necessary Office 365 server details (e.g.,
outlook.office365.com
).

Restart Outlook:
- Close and reopen Outlook to ensure the new mailbox is fully synchronised.
